What does a company profile do for a business introduction?
A company profile is an organised introduction to the business a customer may work with. In this lesson, Mostafa Nezamparvar explains that the document should help buyers understand its identity, capabilities and possibilities for cooperation. It is more than a few product photographs or promotional copy about company history.
Some information may already be on the website, but the session emphasises preparing a presentable document, such as a PDF or printed version. Customers should receive the information as a coherent whole. Its language should also be usable for them; the video mentions English or other languages appropriate to the audience.
Start with the business's actual identity and structure
The company name and introduction, managers and responsibilities, and purpose of the business are among the session's suggested opening topics. Managers' experience can also be included where relevant. The aim is for readers to understand the organisation and structure they are dealing with.
The session then discusses services, staff or departments and the business's trading model. The level of detail should fit its actual size and circumstances.
A small business need not imitate the structure of a large corporation or present departments and positions that do not actually exist. The information should clarify responsibilities and capabilities.
Separate production capacity from the product list
An important distinction is that between a company profile and a catalogue. A catalogue usually presents products, whereas a company profile should also clarify production capabilities and facilities. Beyond existing goods, customers need to know what kinds of orders fall within the manufacturer's actual capabilities.
A product catalogue and a company profile serve different purposes
Catalog
Presentation of products and visible models.
Company profile
Business identity, production capabilities, services and scope for cooperation.
A capacity figure is incomplete without a unit and timeframe
To explain capacity, the educator uses units such as quantity, weight or area and periods such as a day, month or year. The way capacity is expressed should fit the business's activity. Customers should understand which product or production type the volume refers to and over what period it can be achieved.
In the video, stating these capacities demonstrates the organisation's flexibility and facilities. Customers who see only existing finished products may not discover other capabilities relevant to their orders. The capacity section should reduce that information gap.
Connect services, experience and credentials to the scope for cooperation
The session then covers markets and countries where the business has experience, future objectives and available services.
Past performance and future objectives must be clearly distinguished. Plans to enter a country should not be written so that readers mistake them for a history of sales in that market.
Relevant certifications, documents and memberships can also be included. The purpose is to provide evidence clarifying the business's identity and capabilities. This lesson does not prescribe a particular certificate for every business, and merely listing credentials does not replace explaining actual activities.
If there is a record of past performance, it can be presented in the profile. The educator sees this information as supporting trust; the introduction should therefore answer customers' questions about the ability to work together, not merely assemble titles and general claims.
Do not forget shipping and contact methods
Besides the product itself, export customers want to know what delivery and shipping services are available. The educator mentions land, sea and air transport and different delivery terms. The profile should describe what can genuinely be provided for the goods within the business's capabilities.
The video mentions terms such as FOB, CIF and CFR as examples of delivery conditions that might appear in an introduction, but does not teach their detailed obligations.
This article likewise retains them only as examples of a topic to address. Including a term in a profile should not replace careful examination and agreement on transaction conditions.
Contact methods should also appear in the document so that customers can ask questions or submit enquiries after learning about the business. Presenting services and capabilities supports further discussion only when the next means of contact is clear.
Let the content determine the document's length
The educator discusses profiles of different lengths, from shorter documents to detailed introductions by large companies. The point is not that longer is always better. The amount of information should relate to the business's size, range of capabilities and audience needs.
Begin by gathering identity information, capacities, services, experience and contact details into an organised draft.
Then identify what remains unclear to customers and what relevant information is missing.
In the session, a company profile is part of the infrastructure for introducing a business and building trust remotely, not a document that alone guarantees a contract or payment.
What information should we collect for an organised introduction?
Identity
Introduction to the business, responsibilities and operating model.
Capabilities
Production type, quality and size ranges, capacity and timeframe.
Evidence supporting cooperation
Services, genuine experience and relevant documents.
Continuing contact
Shipping options and contact methods.
About this talk
This article is an edited, thematic adaptation of Mostafa Nezamparvar's video “All the Details and Principles of an Export Company Profile”, published on 11 September 2024 and embedded on this page. It is based on automatic Persian captions, not a word-for-word transcript. Unclear figures in examples and the consultancy-service promotion have been omitted. The chair and tile examples come from the session itself; no capacity or track record has been invented for any particular business.
